No requests for a refund will be accepted (the same applies if you are unable to participate due to visa problems). If you are unable to participate and present your paper due to visa or other personal/family/health reasons, we would appreciate it if you notify us by the 15th of October at the very latest. Otherwise, failing to present an accepted paper at the conference, will be considered as a NO-SHOW and the paper will be automatically excluded from the IEEE Xplore proceedings.
If you require a visa to travel to China, the Conference will issue you with a letter to use it as part of the visa application process. Please check with the Chinese Embassy in your country of residence as to the requirements for applying for visa to attend the conference and the processing time and apply for this well in advance. Typically for a visa to be issued your passport will need to be valid for at least 6 months.
The letters will be issued only to authors/presenters and participants who register and complete the payment process.
The letter needs to include personal information such as name and surname as they appear on your passport, date of birth, place of birth and passport number and you should be prepared to send these details across for the conference organisers to issue the letter. We also need the proposed travel dates (entry/departure dates), the name of the Chinese embassy or consulate that you will be applying to for your visa and information on who will be covering the expenses for your trip. Please email the conference organisers with these details to request a letter.
